FOOTWORK STUDIO - TERMS AND CONDITIONS

1. Studio Hours & Availability

Standard operating hours are Monday to Friday, 09:30 to 17:30. Weekend bookings are considered on a case-by-case basis and must be arranged manually; they cannot be reserved via the online booking system.

2. Booking Confirmation

Usage of our online studio reservation tool does not guarantee availability. Your request will be sent to a member of our team, who will either confirm the booking or inform you of any unavoidable scheduling clashes. Your booking is only confirmed once a member of our team has formally notified you.

3. Occupancy

To ensure a safe and comfortable environment, occupancy limits are strictly enforced:

  • Sofa Studio: Maximum of 4 recording guests and 1 non-recording guest.

  • Table Studio: Maximum of 2 recording guests and 1 non-recording guest.

Neither studio is able to accommodate guests beyond these limits.

4. Timing & Grace Period

Your booking includes all setup, pack-down, and file transfers. Each session includes a 15-minute buffer on either side of the allotted time. Arrivals exceeding this window or sessions running over will be charged in 30-minute increments, subject to availability. Late arrivals do not entitle you to an extension.

5. Unassisted Bookings

We will consider requests from users who wish to book the studio without an engineer at a rate of £100 per hour (inc. VAT). Clients must provide a summary of their technical experience for approval at Footwork Media’s discretion. We reserve the right to rescind this privilege if equipment competency is in doubt.

6. Equipment Use & Liability

Equipment is provided in good working order. Any equipment damaged, lost, or stolen during your session will be charged at full replacement value. You agree that Footwork Media may charge you for such losses.

7. Cancellations & Rescheduling

Changes or cancellations must be made at least 48 hours in advance. Bookings cancelled or moved within 48 hours of the start time will be charged in full.

8. Studio Condition

The studio must be left in its original condition. You may not alter, decorate, or construct sets without prior consent. All rubbish and materials must be removed; failure to do so will result in a clearance fee charged at your expense.

9. Media Delivery & Data

As standard, we will transfer your raw audio and video files to you immediately following your session. To ensure a speedy transfer, please bring a Solid State Drive (SSD) with at least 150GB of available space.

If you cannot take the files on the day, Digital Delivery via Google Drive is available within two working days for £30 (inc. VAT). This can be selected as an optional extra when reserving your studio time. Files remain on Google Drive for three months, after which they are deleted. It is your sole responsibility to back up all data once delivered.

10. Noise & Environment

While the studios are acoustically treated, they are not 100% soundproof to outside elements. We take all reasonable measures to minimise external noise but cannot guarantee a perfectly silent environment.

11. Safety & Age Restrictions

All clients and guests must be 18 years of age or older. You agree to use all equipment safely; Footwork Media is not liable for injuries resulting from misuse. We recommend obtaining personal insurance for any equipment or property you bring to the studio.

12. Promotional Use

Footwork Media may capture behind-the-scenes content for promotional purposes. Clients may opt out by providing written notice prior to the session.

13. Indemnity & Force Majeure

You agree to indemnify Footwork Media against any claims or losses arising from your use of the studio. We are not liable for failures beyond our control, including extreme weather, power outages, or equipment failure.

14. Ready-to-Post Edit

If you select this optional extra service, you will receive a file with the separate audio and video tracks synced. We will trim the start and end of the session to remove setup and wrap-up footage. Please note that this service does not include editorial changes, nor the mastering of audio or video. Footwork Media is not liable for any editorial errors or "mistakes" contained within the final exported file.

15. 4K RAW Video Files

If you select this optional extra service, we will record all three cameras in 4K RAW by connecting Solid State Drives (SSDs) directly to the cameras. The client is responsible for providing SSDs with sufficient write-speeds and available storage space. Please note that it is not possible to provide a live-switched (vision-mixed) file in 4K resolution; this service provides separate raw files only.

16. Separate Audio and Video Files

Unless the 'Ready-to-Post' service is selected, you will be provided with separate audio and video files which require synchronisation in post-production. Please be aware that over longer recordings (typically 30–40 minutes+), audio and video files can experience 'sync drift', where they fall slightly out of alignment. This is a standard occurrence in digital recording and is easily corrected by an editor. Footwork Media is not liable for editorial errors or synchronisation issues arising from this process.
